Formal procedures of applying for a study period at The University of Szczecin (Erasmus+ student mobility between Partner and Programme countries) within the Project 2017-1-PL01-KA107-037002 (1.06.2017 – 31.07.2019)

General information

1. The students eligible to apply for a study period at The University of Szczecin are students officially registered at the Partner University and who at the moment of the arrival to The University of Szczecin have completed at least 1st year of their bachelor studies.
2. The Partner Universities participating in the Project no. 2017-1-PL01-KA107-037002 are:

e) Guangdong University of Foreign Studies, China;

j) Institut Teknologi Sepuluh Nopember, Indonesia;

l) Yuriy Fedkovych Chernivtsi National University, Ukraine;

3. The period of study at The University of Szczecin lasts from three to five months ( one semester ) and is carried out during the summer semester 2017/2018 or academic year 2018/2019.
4. Students should be guaranteed academic recognition of studies carried out at The University of Szczecin as equivalent to a period of study at their home University . For this purpose, a scale set out by the universities of Project No. 2017-1-PL01-KA107-037002 will be applied.
5. Implementation of the mobility is organized in accordance with the principles set out in the guide for Erasmus + Programme Guide ( http://ec.europa.eu/programmes/erasmus-plus/documents/erasmus-plus-programme-guide_en.pdf ) and the guidelines of the National Agency program in Poland – Foundation for the Development of the Education System.

Application process

  1. The qualification process takes place at the student’s home University according to the rules set out by the home University and Erasmus + Programme Guide. The obligatory documents to be filed at the home University are application form and a certificate confirming language competence HEI (except of the students who are native speakers of the language) at minimum B2 level (according to Common European Framework of Reference for Languages) issued by an accredited body or a confirmation of placement test results at minimum B2 level issued by the relevant unit at the home HEI. The students with the language competence on B1 level can be accepted conditionally.
  2. The partner universities send to International Office of The University of Szczecin a ranking list of the students nominated for a study period with the application form of each student attached. The list of the students nominated for the exchange should be sent at least two months before the mobility starts.
  3. The ranking lists and application forms are forwarded to the respective faculties of The University of Szczecin where Faculty coordinators select the students according to the number of the mobilities assigned to each Faculty.
  4. The Faculty coordinators while selecting the students take into consideration student’s grades, motivation to study abroad, language competence, in case of PhD students – Faculty’s capability to assign a supervisor to the student.

Before arrival

  1. International Office issues an invitation and any other relevant documents related to the visa application process.
  2. The accepted students should prepare their Learning Agreement which must be approved by the responsible person at their home University and the Faculty coordinator at the respective Faculty of the University of Szczecin within 2 weeks.
  3. The grant agreement is signed with the student whose Learning Agreement has been approved by both universities. The grant agreement is trilateral and should be signed by the student and both Universities before the beginning of the mobility.
  4. Before signing the agreement the home university is obliged to verify if the student owns a relevant insurance policy as stated in the grant agreement. The copy of this policy should be sent to the University of Szczecin via e-mail.

Scholarship

1. The duration of the mobility is specified in the grant agreement, the minimum duration of the student mobility is 3 month and the maximum period of funding and the stay is 5 months. In the case of incomplete months, the grant amount will be calculated by multiplying the number of days in the month by 1/30 part of that amount ).
2. The students incoming to The University of Szczecin will receive a grant of 750 Euro per month and additional grant to cover travel expenses calculated upon a distance using a calculator provided by the European Commission http://ec.europa.eu/programmes/erasmus-plus/tools/distance_en.htm

During and after the mobility

  1. In a situation when the study programme can’t be realized according to Learning Agreement for various reasons beyond the control of the student, the student has the right to make amendments to LA such as deletion or addition of the subject.
  2. The changes need to be made and approved both by the sending and hosting university within 1 month of the start of classes at the partner university. The situation when the student changes the study programme without notifying his sending or hosting university can be regarded as a breach of contract and lead to the subsequent need to return the grant and the non-recognition of realized but not approved beforehand subjects.
  3. In order to introduce changes to the Learning Agreement, the student should fill part of the Learning Agreement “DURING THE MOBILITY, changes to the original Learning Agreement” and obtain the confirmation (signature) of their home university. Then the scanned part of the Learning Agreement is signed by the respective coordinator at the faculty of The University of Szczecin.
  4. Once the student has completed all their courses and exams, on the examination sheet they should collect grades and teachers’ signatures from all the courses that are to be included in the recognition outcomes. It should include the title of the course, the number of ECTS credits, the local grade, the name and the signature of the teacher, stamp and signature of the Faculty Coordinator.
  5. On the basis of the above-mentioned sheet, a responsible person at the International Office will fill out the section AFTER THE MOBILITY of the student’s Learning Agreement. The end date of the student’s study period is calculated as follows: last examination date plus maximum two weeks added upon student’s request.
